The Recruitment Process

One of the reason for The Grey Guard to move over to this site was to make the recruitment process easier for everyone. The goals were to make the process easier to administrate, more transparent to new recruits, quicker and more reliable. Another goal has been to include every full member in the process. Today everyone has a say who we want in the kin or not.

The Process

  1. A potential member registers to the site
    To register the user has to provide a username, a password and a working e-mail address. S/he also has to accept our Rules & Guidance Notes.
  2. An automated account deletion is scheduled
    To avoid clogging the system with a lot of unused accounts an automated rule is scheduled one week after the account has been created. This will be cancelled if the user posts an application.
  3. The potential member gains access to the site
    To make sure that the e-mail address is real the site automatically sends out an e-mail with a link. Click the link and the user gets access to the site as an "Authenticated user".
  4. The potential member is requested to write an application
    The system asks the new user to provide us with an application. That is done by creating a node of the content-type "Application". Until this is done the user isn't considered a recruit.
  5. Recruitment progressThe potential member is considered a recruit
    After posting an application the user gains the role "Recruit". S/he will now show up in the "Recruitment Progress"-block on the frontpage (and in a few other places). The automated account deletion is now cancelled. Our officers are notified about the new recruit by an automated e-mail.

    The recruit is requested to contact an officer in-game for a proper invitation to the kinship.
  7. Your recruitment progressThe recruitment progress starts
    Full members can now read the application, interact with the recruit in-game and on-site to get a view if the recruit is suitable for The Grey Guard, and the other way around. The recruit can keep track of her/his own progress by a user specific block on the frontpage.
  8. The recruit collect points
    The recruit is awarded points by members and is also able to collect some on her/his own. A list of these points are added further down this page.
  9. The recruit reaches goal
    Once the recruit collects 100 points s/he is moved to another block on the frontpage that is only shown to officers. There they are requested to promote the recruit in-game. Once that is done they can click the button "Promote" to promote the recruit to full member on-site.

    The new full member is moved to yet another block where s/he is welcomed to the kin. After two weeks the member is removed from the block and is considered a full member with the same rights and as any other.

The Points

To complete the recruitment process the recruit has to collect at least 100 recruitment points. These are awarded as follow:

  • Posting the application: 5 points (this is only awarded to make the recruit show up in our listings)
  • Posting first forum post: 5 points
  • Posting first comment elsewhere: 5 points
  • A full member, sergeant or administrator approves: 10 points (only available for a total of 50 points)
  • An officer approves: 25 points

This means that a total of 15 points can be collected by the recruit on her/his own. Another 50 points can be awarded by full members, sergeants and administrators. The rest has to come from the officers. This is a security measures where the officers get a "last say", making sure nobody passes the system too easily.
